Volunteering Descriptions

Car Wash

Carwash is typically held on the last Sunday of preseason from 9am-1pm. Solicit a venue willing to host. Sunoco on Rt.1 and Gorham Road are closed on Sunday and so it does not disturb their customer traffic. They have been very accommodating. Supplies needed: 3 hoses, 3-4 large bottles of car wash soap, rags, drying rack, signs and markers, cash box. Athletes can sign up on the team board for volunteering. At lease10-15 athletes are needed for each time slot: 9-11 or 11-1pm. At least 5-6 adult volunteers are needed throughout the day. Coordinate with Secretary a sign up genius for the event which will include volunteers and food donations.

Away game needs

Purchase and provide snacks to team at away games. This should be a parent who will be traveling to all away Varsity games.

Team Kyle

Ensures team and coaching staff is outfitted in orange such as t-shirts and/or wrist bands. The appropriate paperwork is filed with the school Athletic Director so that students can collect donations for Barbara Bush Children’s Hospital and serves as an overall coordinator on the game day.

Decorations

Decorate team board. Typically done during Blitz Day. Decorate tables for end of season banquet and senior parent Thursday team dinner. Supplies are provided or can be purchased and reimbursed. 

Laundry Liaison

Laundry duty will be filled by volunteers. A point person is needed in case someone doesn’t show up or needs help. There is a detailed description of laundry procedures on the sign up genius.

Banquet

Solicit ideas from Captains and purchase Senior gifts to be distributed at banquet.

Apparel

contact a vendor, choose items, and coordinate days of sale. Also choose and order 2-3 items to be sold at home games. Communicate with Athletic Director and fill out appropriate paperwork for fundraising during games. Coordinate with the Treasurer how payment and reimbursement will be handled with company.

Corporate Sponsors

Compile a list of potential sponsors starting in March. Communicate with board members and distribute contact information to those members who have a contact at businesses on the list. Edit letters to sponsors and distribute them with sponsorship level descriptions. Letters can be mailed, or hand delivered. Fill out receipt of payment to be filed in Google drive by Secretary.

CLYNK

Obtain CLYNK stickers and bags from CLYNK station and provide them to the public. Collect funds from the account at the end of the year. Provide revenue check to Treasurer.

Mums

Communicate with Highland Avenue Farms in June to coordinate number of mums to be sold. Typically, between 200-350. Set up Red Podium with Secretary and Jordan Ferriera for online order and payment. Continue to coordinate with Highland Farms for date of sales and pick -up. Typically done at the end of September.

Restaurant Nights

Solicit willing business to host a Scarborough High School Football night for a percentage of proceeds to benefit fundraising efforts. 1-2 per quarter during the year. Advertise on Facebook and website. 

Stats/Film Crew

Coordinate a 5–6-person team to film and keep stats at all Varsity games. Coordinate with Head Coach.

Program Design and production

Collect all information to be included in season’s program including Senior write-ups, sponsor information, schedule, team roster, coach write-up, and any further inclusions. Sponsorship advertisement is based on the amount donated

Senior Night

Communicate with Head Coach and Athletic Director via President specific date of senior night recognition. Typically the last home game of the season at 6:30 pm before kick-off. Compile list of seniors and parents to be recognized. Purchase flowers or chosen gifts for seniors to give to parents. Assemble seniors on sidelines on home side and parents on visitor’s side. Provide announcers information that will be announced (Athletic Director will provide script for opening remarks).

Pizza Party on last day of Double sessions

Coordinate time and place with Head Coach. Pizza party has been held outside by the snack shack and in the cafeteria in the past. If the cafeteria is needed, coordinate with the Secretary to reserve the space ahead of time. Purchase pizza, drinks, snacks, plates, and napkins for event (all levels included).

Blitz Day

Blitz day attendance is required for all players. 5-6 parents are needed for driving. Distribute sign-up. Blitz is held on the first Saturday of double sessions. Players meet in the Team Room at 9am.  Vendor and supplies are coordinated by head coach. Maps and groups must be printed off and copies provided to head coach and individual groups. Groups of players can be driven by players who have allowance to drive minors or by parents. Volunteer provides snacks and water for groups and takes attendance of all athletes returning to school with fundraising dollars and/or left over cards.

Freshman Team Dinner

Communicate with freshman coach and plan this for a day after practice. Reserve cafeteria (coordinate with the Secretary). Provide pizza, drinks, desserts, snacks, plates, and napkins. Solicit volunteers to help with set up and clean up via sign-up genius or direct contact with parents.

Class Liaison

Each class will have a point person who will communicate with the board and athlete’s families regarding issues such as any questions, volunteer needs, events, and schedules.

Cheer Team Liaison

Communicate with Cheerleading Head coach regarding events (Homecoming, Senior night, Team dinners) that the cheer team will be participating in. Communicate with the board regarding these events and any support needed

Team Dinner

Team dinner is held every Thursday night at 6pm in the cafeteria for JV and Varsity players. Coordinate with the Secretary to set up room reservation and sign-up genius for food donations and volunteers. Previous season’s sign-ups and templates can be found on the Google Drive. Communicate with class liaisons if additional help is needed. Communicate with the Treasurer regarding any needed supplies or purchases. Team walk-thru is done immediately following team dinner.
